What Changed: Partners Submit General POs in UCPQ
Definition: UCPQ is NetApp’s partner quoting console on PartnerHub. Going forward, partners are responsible for General PO Submission through UCPQ — not by emailing Order Management for routine bookings. Verified from the NetApp UCPQ PO Submission Training English deck (22 slides), 22 Sep 2026.
Three statuses matter: Configured means parts exist but required fields are still incomplete. Orderable means pricing, accounts, and serial numbers are valid. PO Submitted means the purchase order file is attached and sent to Order Management. Quote Advisor lists every open step with green checkmarks.
| State | Meaning | Buyer action |
|---|---|---|
| Configured | Parts added; required info still missing | Finish Quote Advisor open items |
| Orderable | Pricing validated; accounts + serials complete | Attach PO and open Purchase Order tab |
| PO Submitted | PO attached and sent to Order Management | Track Manage Order / status notifications |

How Does Quote Advisor Move a Quote to Orderable?
Open Quote Advisor first on the PartnerHub quote. Confirm pricing approval, edit Ship-to and Software Delivery addresses, set shipping method, clear the red error box, then click Save so status can move to Orderable. WalkMe on the page guides each click path.
Quote Advisor is the primary checklist. It shows every step from Configured to Orderable, green checkmarks for completed items, and outstanding work. Click Save so validation rules refresh.
- Pricing Approval — status must be Approval Not Required, Pre-Approved, Approved, or Auto Approved. Use Initiate Approval; complete highlighted Approval Request fields; finish any PVR.
- Account Information — edit Ship-to and Software Delivery (plus Service Customer for cloud). Search by CMAT SITE ID or company/address. New CMAT IDs: check back in 4 hours to 24 hours, click Refresh CMAT; contacts only after account + NAGP assignment. Contacts key off a unique email and are shared across NAGP. Do not press ESC on the Contacts window or edits are lost. If Ship-to and Software Delivery match, finish Ship-to first, then use Same As.
- Legal Entity, Payment Terms, Inco-terms, Freight — confirm against the PO. Pick Shipping Method with your Channel or Sales team. Contingency requires a NetApp PVR. After PVR start/approval, Terms lock until you recall the PVR.
- US Shipping Instructions — mandatory on US orders; include freight-forwarder contact and details.
Illustrative Incoterm / shipping pairs from the training deck (confirm contractual defaults with the account team — regional examples, not China statutory defaults):

Which UCPQ Errors Block Orderable Status?
Typical blockers are LOD expired parts, missing serial numbers, stale quote expiry dates, GTC screening, invalid configurations, and pricing suspension holds. Fix Invalid Fixable lines on Products; delete Invalid On Hold lines. GTC waits on NetApp; urgent escalations go to ttrp@netapp.com.
| Message / risk | What to do |
|---|---|
| Last Order Date expired / Invalid LOD Part (e.g. E-X4137D-C) | Edit configuration to remove invalid parts, or obtain approval via helpdesk@netapp.com to remove the LOD flag |
| Please Enter Required Number of Serial Numbers | Products → Attn: qty → open line → Assets/SerialNumbers → validate → Save |
| Quote requires Refresh (expiry passed) | Recall PVR via Quote Actions / More Actions, then Refresh Pricing; Unlock if B2B XML was exported |
| GTC risk identified | GTC team clears it; you may issue the quote to the customer but cannot book until cleared; urgent: ttrp@netapp.com |
| Suspended due to Invalid Configurations | Products → Config Status: edit Invalid-Fixable; delete Invalid-On-Hold; see Issue List |
| Pricing Suspension applied | Quote Actions → refresh pricing |
Serial number detail: Attn: shows how many serials each line needs. Expand child lines — some products need parent and child serials. Large quotes: scan every page until the serial error clears.
How Do You Go from Orderable to PO Submitted?
After Orderable, attach exactly one Purchase Order on the Attachments tab. Professional Services may also need a SOW and CLIPS document. On the Purchase Order tab enter PO number, PO date, acknowledgement email, and shipment preference, then click Submit PO.
- Attachments: one Purchase Order document is always required (only one PO per quote). Professional Services may need SOW and CLIPS. You can remove and re-upload before submit.
- Purchase Order tab: PO Number, PO Date, Order Acknowledgement Contact email, Partial or Complete shipment, then Submit PO.
- Reseller or end-user PO details entered here can flow to delivery notes.
- After Submit PO you can withdraw until Order Management picks the queue; afterwards wait for accept/reject, or use the cancellation process if needed.
Pre-Build (no PO yet): requires Pre-Build Approval (green Approved + Pre-Build Status). Quote stays Orderable after Submit Prebuild Request. Pricing and Ship-to changes stop. You cannot submit a Purchase Order until the Pre-Build Sales Order is generated.
How Do Change, Cancellation, and Return Windows Work?
Manage Order opens after PO Submitted when a Sales Order already exists. Change Requests run after PO Accepted and before shipping, with proof of customer request attached. Cancellation is pre-ship only; returns need a NetApp Sales Rep and finance approval.
| Order status | Signal (training) |
|---|---|
| Entered | Booking in progress; 3A6 Booked not sent yet |
| Booked | ERP order generated; 3A6 Booked sent |
| Partially Shipped / Shipped | 3B2 notification; shipsets may split shipments |
| Invoiced | 3C3 or PDF invoice |
| Closed | All lines closed |
- Change Request: after PO Accepted, before (partial) ship. Attach Proof of Customer Request or submit fails. Puts the order on hold. Address changes stay same-country.
- Cancellation: after Accepted, before shipping. Partial Cancellation selects Major Lines. Proof of customer request still required in current training (future release may change).
- Return: work with NetApp Sales Rep; finance approval required; internal users only submit returns.
- Interim access note: training states most partners gain Change Request initiation “as of July 3rd” — confirm the calendar year on your PartnerHub notice (pending confirmation). Until access is live, send change requests to the PO-submission mailbox listed on that notice.
What Is on the NetApp UCPQ PO Submit Checklist?
Match net price, currency, Legal Entity, payment terms, and Incoterms to the purchase order. Enter every required serial, attach the PO, add the Sold-to confirmation contact, then submit. Contingency needs a NetApp PVR. Regional freight pairs are examples — confirm contractual terms. Soft channel nets stay industry estimate / pending confirmation.
| Area | Check before Submit Order |
|---|---|
| Quote header | Net price matches PO; currency matches; expiration valid; PVR Approved / Pre-Approved / Not Required; quote Orderable |
| Products | All required SN# entered and validated |
| Account | Legal Entity, Payment Term, Sold-to / Bill-to / Ship-to, contact, Incoterm + Shipping Method + Freight, requested ship or do-not-ship-before, Contingency matches PO or none |
| Attachments | Purchase Order; quote printout if PO is not line-item specified; other confirmations |
| Purchase Order window | Customer PO number (+ reseller/end-user PO if needed); PO print date; ORS comments; Sold-to contact for confirmation; Submit Order |
Real-World Deployment Scenarios
Resellers booking AFF or ASA after dual-CPQ often stall on Configured when Ship-to contacts or serial numbers are missing. US orders need freight-forwarder instructions on the quote. Pre-Build holds manufacturing without a PO until the Pre-Build Sales Order exists in Order Management.
- Reseller AFF / ASA book after dual-CPQ: pricing is approved but Ship-to contact or serial Attn: qty keeps the quote Configured — finish accounts and Assets/SerialNumbers before CapEx freeze.
- US logistics: Shipping Instructions with freight-forwarder details are mandatory; wrong Freight Term versus Incoterm causes downstream holds.
- LOD spare on a refresh BOM: expired Last Order Date parts block print and Orderable until removed or helpdesk clears the LOD flag.
- Factory Pre-Build: manufacturing starts without a customer PO; do not expect to Submit PO until the Pre-Build Sales Order exists.
Who Should Use This Guide — and Who Should Skip It?
- Fit: NetApp channel partners booking General hardware/software in UCPQ for China enterprise delivery; ops teams stuck on Configured vs Orderable, serials, PVR locks, or PO attach.
- Unfit: buyers who only need the August 2026 list-percentage matrix; return requests after ship; organizations without PartnerHub. Soft channel net remains industry estimate / pending confirmation.
How to Submit a NetApp PO in UCPQ (Step by Step)

- Step 2 — Complete pricing approval. Reach Approval Not Required, Pre-Approved, Approved, or Auto Approved, including any PVR.
- Step 3 — Update accounts and shipping. Edit Ship-to, Software Delivery, contacts, Legal Entity, payment, Incoterms, freight, and shipping method; Save.
- Step 4 — Clear blockers and serials. Resolve LOD, serial Attn: quantities, refresh, GTC wait, invalid configs, and pricing suspension.
- Step 5 — Reach Orderable and attach PO. Save until Orderable, attach one Purchase Order document, add SOW/CLIPS if Professional Services.
- Step 6 — Submit PO and track the order. Complete the Purchase Order tab, Submit PO, then use Manage Order for status, changes, or cancellations inside allowed windows.
